# 📋 SecuRooms: sharing folders and data rooms via a public link

A public link lets you share a data room or a folder with people who do not have an FTAPI account. Anyone who has the link can view and download the contents — nothing else. Uploading, renaming and deleting are not possible through the link.

## Prerequisites

Your user group needs the permission **"May create and delete public links"**. Without it, the **Public link** tab does not appear in the invite dialog. Your administrator grants the permission.

You also need the **Owner** access role for the data room or folder in question.

## Creating a public link

1.  Open the data room or folder and click **Invite**.
2.  Switch to the **Public link** tab.
3.  Turn on the toggle. The link is created immediately.
4.  Click **Done**.

FTAPI confirms the sharing, and from now on the data room carries the **Public** label.

**A second link is never created**If a public link is already active for the folder, the dialog shows this when it opens. The toggle is already on, and you continue to work with the existing link.

## Copying the link, saving a QR code or deleting the link

Open **Manage access**. The public link is pinned at the top of the list, shown as **"Anyone with the link"** with the **Public link** label. Clicking the row copies the link to the clipboard.

The **…** menu at the end of the row offers three actions:

-   **Copy link**
-   **Download QR code** — you get an image file that you can put into a presentation, a poster or a cover letter.
-   **Delete link** — the link stops working immediately.

## How to recognise a publicly shared folder

A data room or folder with a public link carries the **Public** label in its header and a link icon in the folder list.

The sharing applies to the whole content: subfolders are labelled as well.

The **Copy link** action is in the folder menu. It only appears on the folder where the link was created — not on the subfolders that inherit the sharing.

## All your public links at a glance

In the left-hand navigation, **Public links** opens an overview of every link you have shared, together with the folder or data room it points to.

The **…** menu in the row lets you copy or delete a link straight from the overview.

**Trash bin**  
A link is only active while its target is not in the trash bin. Restore the folder and the link works again.

## When a data room is deleted

If you delete a data room permanently, its public links are deleted as well. Recipients lose access immediately. The confirmation dialog points this out.

## What recipients see

Recipients open the link in a browser — without signing in and without an FTAPI account.

The page shows the folder name as well as the files and subfolders it contains. On the left there are notes on public access and data protection.

Individual files can be selected; the **Download** button shows how many files are selected. Subfolders can be opened and left again.

Before downloading, the recipient has to agree to a notice. Your administrator defines its wording.

Files can be viewed directly in the preview, without downloading them.

If the recipient is signed in to FTAPI at the same time and has access to SecuRooms, a button takes them back into the application.

The recipient view deliberately has **no search** and **no prompt to register**.

## When the link does not work

If a link has been deleted or its target is in the trash bin, the recipient sees an information page. Recipients should then contact you as the sender.
