π Managing access rights: Subfolder sharing
From FTAPI version 4.63.1 onwards, you can now also share subfolders in end-to-end encrypted data rooms.
As the owner of a SecuRooms, you have full control over the assignment of permissions. Here you can learn about the specific features of automatic permission assignment.
Automatic permission assignment
When sharing a data room with other people, the granted access and permissions automatically apply to all folders and files contained within it. Permissions do not need to be assigned manually at every level β the system automatically assigns the rights to subordinate content.
Sharing options for data rooms
The following options are available to you when sharing:
- Access only to individual subfolders possible:
Users do not need to be granted access to the entire data room. Instead, they can be allowed access only to a specific folder within it.
Example: In the data room βProject Xβ there is a folder βBudgetβ. Ben is only allowed to access this folder and its contents β the other folders in βProject Xβ remain invisible to him. - Different permissions possible for different folders:
A user can receive a basic permission for the entire data room (e.g., βview onlyβ), but additional rights for individual subfolders (e.g., βeditβ).
Example: Janina only has read rights (βViewerβ) in the data room βProject Xβ, so she is not allowed to change anything. However, she receives additional editing rights (βEditorβ) for the βBudgetβ folder. This means: In βBudgetβ she is allowed to, for example, upload or change files, but not in any other areas of βProject Xβ.
Managing access rights in data rooms
Users with the βOwnerβ access role have full control and can grant, change, or revoke access to the data room for other users.
Important note: Access rights can only ever be edited where they were originally assigned.
This means:
- Permission assignment at the data room level
- Permission assignment directly on the respective folder if the user was only granted access for this subfolder
SecuPass for end-to-end encrypted data rooms
The process for folder sharing in end-to-end encrypted data rooms depends on whether the user has already set a SecuPass or not.
- SecuPass exists: The user can access the folder after entering the SecuPass.
- No SecuPass exists yet: The user is automatically guided through the setup process upon their first access and can access the folder after successful setup.
