πŸ“‹ SecuMails: Protect and open a Security Level 1 delivery with a password

This article is for users who send or receive deliveries with Security Level 1. You will learn how to set, generate, copy and reset a password when sending, and how recipients open a password-protected delivery.

Prerequisites

  • Your administrator has enabled password protection for Security Level 1 for your user group. If they have not, no password area appears when you send. See FTAPI SecuMails: Security Level 1 with password protection.
  • You send from the FTAPI web interface. You can also set a password in the FTAPI add-in for new Outlook. The classic Outlook add-in and the FTAPI Process Client have limitations, see "Where the feature is available".
  • You send with Security Level 1. Levels 2 to 4 have no delivery password; there the recipient signs in with their FTAPI account.

Send a delivery with a password

The password area only appears once you have selected Security Level 1.

  1. Create a new delivery and select Security Level 1.
  2. Open the password area of the delivery.
  3. Enter a password or have one generated. A generated password meets the password policy your administrator has configured.
  4. Copy the password while it is shown. You need it to pass it on to the recipient.
  5. Send the delivery. The password is applied when you send, not before.

What your user group requires

Your administrator decides per user group how password protection is handled. You notice this when sending:

Group settingWhat happens when you send
optionalYou decide whether to set a password. Without one, the delivery is sent as before.
recommendedYou are prompted to set a password before sending. You can still send without one.
mandatoryYou cannot send the delivery until you have set a password.

With the setting "recommended", a prompt appears before sending.

Pass the password to the recipient

FTAPI does not send the password. You share it through another channel, for example by phone or chat. This keeps the delivery and its password on separate channels.

Reset the password

If the recipient has lost the password, or you no longer have it, reset it from your outbox. You do not have to send the delivery again.

  1. Open your outbox and find the password-protected delivery.
  2. Select the action to reset the password. It is only available for password-protected deliveries and only to you as the sender.
  3. Enter a new password or have one generated, then copy it.
  4. Save. The old password stops working immediately.
  5. Share the new password with the recipient. They are not notified about the reset.

Open a delivery that is password-protected

Recipients see the delivery as usual. The password is only requested at download.

  1. Open the delivery from the notification link or from your FTAPI inbox.
  2. Click the download button.
  3. Enter the password you received from the sender and confirm.
  4. The download starts. Further files in the same delivery download without entering the password again.

Special cases

  • Wrong password. The entry can be repeated. After 50 failed attempts, access to the delivery is blocked. Contact the sender in that case.
  • You as the sender. You do not need the password to download your own delivery from the outbox.
  • Forwarded links. Anyone who has the link but not the password cannot reach the files. That is the point of the feature.
  • Changing the security level. If you switch from level 1 to a higher level while creating the delivery, the delivery password no longer applies. The recipient then signs in with their FTAPI account.
