FTAPI Add-in for classic Outlook

Version 4.9.1

New

  • Two-factor authentication via email code: The add-in now supports two-factor authentication via email. If this method is enabled for a user in the FTAPI platform administration, it now also applies when signing in to the Outlook add-in. No separate configuration on the add-in side is required. Shared account scenarios (multiple users sharing one email address) work the same way as in the web. Note: Users signing in via SAML are not affected.
  • Customisable send button and blacklist message via XML: Administrators can now customise the label of the "Send with FTAPI" button and the text of the blacklist error message. Configuration is done via an XML file that extends the add-in's existing template mechanism, allowing company-specific terminology and internal communication guidelines to be applied consistently.

Fixed

  • More precise error messages when the server is unreachable: When the server cannot be reached, the add-in now distinguishes between an actual server outage and an incorrect URL entry. In the event of an outage, users are linked directly to the FTAPI status page so they can quickly check whether a disruption is in progress.
  • Updated layout for level 4 notification emails: The email notification that recipients receive for level 4 encrypted deliveries has a revised layout: the previous envelope graphic is replaced by a clearly structured info box. The text automatically adapts depending on whether the delivery includes attachments or not.
  • The account selection window for Level 4 deliveries no longer appears multiple times: If multiple accounts were logged in to the add-in, the account selection window would open repeatedly when sending a Level 4 delivery, and the delivery could not be sent. The issue has been resolved; the account selection window now appears only once, and the delivery is sent successfully.
  • No more freezing when the login dialog is left open: If the login window was left open for an extended period (approx. 15–30 minutes), the add-in could freeze and could only be closed via the task manager. This has been fixed.
  • Blacklist now also applied to contact groups: When email addresses from the recipient blacklist were added to an email via a contact group, the add-in previously did not block them. This has been fixed: the blacklist check now applies regardless of whether an address is entered directly or via a contact group.
  • Sending with multiple accounts of different session durations now reliable: When multiple users were signed in to the add-in simultaneously with different session expiry durations, an error occurred when sending. This has been fixed.

  • Control of signature graphics via MSI parameters: Using the new installation parameter NONBLOCKINGATTACHMENTFILENAMES, graphic files (e.g., signature graphics) can be defined to prevent their automatic encryption as attachments at security level 4 and keep them directly in the mail body. Fixed:

  • Prevention of Outlook freezes: An issue was fixed where Outlook could freeze with a delay after manually closing the add-in login mask without entering data.
  • Retention of plain text format during configuration changes: A bug was fixed where changing the download button position unintentionally switched the Outlook default setting for new emails from "Plain Text" to "HTML".

  • Change SecuPass in the browser: Users who select the "Change SecuPass" setting will now be redirected to the FTAPI web interface to perform the change there.

  • Sending to invalid email addresses: SAML users no longer experience interruptions when attempting to create a licensed user for an invalid recipient email address.
  • Change sender: When sending submissions via shared mailboxes, umlauts in recipient notifications are now displayed correctly, even if the sender is changed after adding the file(s).
  • List of outdated OTL versions: SAML users are now also listed in the notification about outdated Outlook Add-in versions.
  • Encoding error: The encoding error in sent submissions has been fixed; special characters such as umlauts are displayed correctly.
  • Correct archiving: Sent submissions with their respective file attachments can be found in the Outbox.

  • Outlook freezing: This version serves as a fallback for customers experiencing performance issues with the Outlook version series 4.8.1 and higher.

Note: The new functionalities in the 4.8.1 and higher version series are removed with the installation of version 4.8.4. The development team is already working on a version 4.8.5 that will contain all functionalities again.

  • Notification for MIME-Type check: Senders of an FTAPI submission will now receive a notification if the files in the attachment do not correspond to the previously allowed file types. Allowed file types can be defined system-wide with the FTAPI Premium virus scanner and checked during upload as part of the MIME-Type check. 
  • Change SecuPass in the browser: Users who select the "Change SecuPass" setting will now be redirected to the FTAPI web interface to perform the change there.

Fixed:

  • Delayed sending: The delayed sending of messages now works flawlessly again for users with the Outlook Add-in enabled.
  • Performance: If the FTAPI login mask is closed without entry when starting Outlook, the application remains stable.
  • Installation: When installing the Outlook Add-in with O365, the correct registry keys are now set again.

Version 4.8.0

  • The Exclaimer Signature Manager is now fully supported with the Outlook Add-in, enabling the use of email signatures when sending any FTAPI submissions (Security Level 1 - 4).

Fixed:

  • Less-than sign: Texts after a "<" sign are no longer removed from level 4 submissions but are sent regularly.
  • Sending submissions without attachments: If the system setting "Allow submissions without attachments" is deactivated, a corresponding error message is now also displayed in Outlook when sending without an attachment.
  • Outlook freezing: The occasional freezing of Outlook for individual customers has been fixed.
