FTAPI Add-in for new Outlook

• Add missing phone numbers while you send, so every delivery arrives: If SMS confirmation is required at registration, the add-in checks before sending whether a phone number is on file for every recipient and asks for the missing ones in the task pane. Once you save them, the send continues automatically; if you cancel, the draft keeps its subject, text and attachments.
• Your password requirement for security level 1 now applies when sending from Outlook as well: The modes optional, recommended and mandatory from the group configuration work in the add-in exactly as they do in the web interface, including generating a password and copying it to the clipboard. In mandatory mode, the add-in takes the sender to the password entry before the delivery goes out. • Sending with an attachment works on the first attempt, even without signing in: The "Send with FTAPI" option appears reliably in Outlook on the web, even when the sender is not signed in to the add-in and attaches a larger file.
• Classic Outlook shows only one FTAPI add-in, even when both are installed: If the FTAPI add-in for classic Outlook (4.9.x) is installed on a Windows workstation, Outlook hides the buttons of the new add-in. It now recognizes the registry keys that the installation actually creates. During the migration your users therefore see exactly one FTAPI entry point, with no additional group policy; Outlook on the web and the new Outlook remain unchanged.

Improved

• Automatic sign-in also works when the mailbox address differs: Even when the Outlook mailbox address and the Microsoft user name (UPN) are not identical, the add-in now signs in automatically via Microsoft. Signing in manually with user name and password is no longer necessary.
• Longer sessions mean fewer sign-ins: The add-in now uses a new sign-in and keep-alive mechanism. Your session is extended automatically, so you are asked to sign in again far less often while you work.
• Account confirmation by email leads to a signed-in add-in: Once you have entered the verification code, Outlook now redirects you correctly and the add-in is signed in. The "account verification by email" security feature can therefore be used with the add-in without restrictions.
• Customer-specific branding for messages sent from the add-in: Messages you send via the add-in now use the branding stored in the administration (System > Appearance). The download button in the notification email picks up the stored colors.
• The SubmitBox button follows the language selected in the add-in: The SubmitBox button now uses the language set in the task pane rather than the Outlook display language. It therefore appears in the language you selected in the add-in.

• Seamless add-in start, with the FTAPI URL set centrally: Administrators can now store the FTAPI URL as an extension parameter on Microsoft 365 accounts, so users do not have to enter it themselves at first sign-in. The automated update process is unaffected. This speeds up your rollout and reduces questions.
• Reliable add-in start with several Microsoft accounts: If several Microsoft accounts are set up in Outlook, the add-in now takes the centrally configured FTAPI URL from the active account. Users can sign in with it directly or select a different instance manually. The add-in therefore starts smoothly in multi-account environments as well.
• More clarity when classic and new Outlook are used side by side: If a user starts the add-in in classic Outlook by mistake, the task pane shows a clear note about the missing compatibility. Sending remains possible; the note only prevents functions of the two add-ins from being mixed. This reduces support requests during migration phases.
• Faster troubleshooting thanks to a visible add-in version: The installed version is now shown directly in the task pane, with the JavaScript and manifest versions listed separately. Users and IT support can see at a glance which release is running, without going via the FTAPI icon in the ribbon. Support requests can therefore be assessed more quickly.

• Attachments stay in sync between the add-in and Outlook: When you switch secure FTAPI transfer on or off in the add-in, the side panel now shows the same attachment status as Outlook. Previously the display in the add-in could differ from the actual attachment in the message.
• Consistent enforcement of SMS-based two-factor authentication: When SMS 2FA is active, the one-time code is now requested reliably before users are given access to the add-in. Previously, certain constellations allowed users into the add-in without entering the SMS code. Your configured 2FA policy therefore now applies consistently in the Outlook environment too.

Note: The improvement to SMS-based 2FA takes effect with server version 4.64.0. This version has already been rolled out for cloud customers. Customers running On-Premises should install the most recent version that FTAPI has officially released for On-Premises (support.ftapi.com > FTAPI Versionen).

• Extra security for fast communication: Security level 1 can now optionally be protected with a password in the FTAPI add-in as well. The password is passed to the recipient outside FTAPI, by phone or chat, for example. Password protection therefore adds security to fast communication.

Note: To let your users work with password protection, the feature has to be enabled for the individual user groups. Learn more.

• The sending rules stored for the Outlook add-in now apply regardless of whether the user groups were changed for the users concerned.
• Secure upload links (SubmitBox links) can now be sent without issue in deliveries with security level 4.

• End-to-end encryption available: For the highest level of confidentiality, the proven end-to-end encryption (security levels 3 and 4) can now be selected directly and conveniently in the side panel of the FTAPI add-in. Sensitive data is therefore protected in the best possible way.
• SubmitBox button available: Receiving large and sensitive files securely becomes even easier. The SubmitBox function can now be selected in the FTAPI add-in to insert an upload button directly into the email body. By clicking the button, recipients can request an upload ticket for the sender's SubmitBox securely and easily.

• Images that are part of an email signature are no longer removed from the signature and added to a FTAPI delivery as an attachment when a delivery is sent.
• When users are asked to set a new password, this process is now supported smoothly within the add-in as well.
